Why belt tracking breaks in spreadsheets
Belt progression is the heart of a martial arts school, and it's usually the part tracked worst. Instructors keep notebooks, the front desk keeps a spreadsheet, and before each testing day someone spends an evening working out who has enough classes and enough time at their current rank.
Mistakes are expensive. A student who should have tested and didn't loses motivation. A student invited too early has a bad day on the mat in front of their family.
Rank ladders your way
Every program gets its own ladder, with your rank names and colors. Kids Taekwondo, Little Tigers and Adult Karate can each progress differently. For each step you set the requirements:
- Minimum classes attended since the last promotion.
- Minimum time at rank, in days.
- Both or either. Require both conditions, or let either one make a student eligible.
Attendance that counts toward the next belt
Students check in on a tablet at the front desk with a PIN or by searching their name. Each check-in is recorded against their program and rank, so progress updates on its own, class by class.
Instructors and owners see each student's progress toward the next rank on their profile. No manual tally, no end-of-month catch-up.
The ready-to-test list
Before a testing day, open the list of students who meet the requirements for their next rank, filtered by program and school. Invite them, run the exam, and promote in one click. The promotion goes into the student's rank history, and their count toward the next belt starts fresh.
Testing days themselves can be set up as events, with registration and testing fees attached.
Frequently asked questions
Does it work for styles other than taekwondo?
Yes. Any style with programs and ranks works: taekwondo, karate, kung fu, judo, kickboxing and more. See taekwondo and karate.
Can I promote a student who doesn't meet the requirements yet?
Yes. Requirements tell you who is eligible; the instructor always makes the final call.
Do I need special hardware for check-in?
No. Any tablet with a web browser can run the check-in kiosk.
Can I import existing ranks?
Yes. Current ranks come across with your students when you import from a CSV export. Unknown rank names are flagged so you can map them before saving.
